The Operations Assistant will play a vital role in supporting daily operations, administration, and executive priorities. This role requires a proactive, highly organized, and tech-savvy professional who can coordinate logistics, streamline office administration, and ensure smooth operational flow across teams.

Key Responsibilities

Executive Support

  • Manage leadership calendar, meetings, and internal/external communications
  • Prepare reports, memos, and presentations for management use
  • Organize executive travel, events, and logistics
  • Handle confidential information and liaise with stakeholders on behalf of executives
  • Track priority tasks and follow up on team deliverables

Operations & Logistics

  • Track customer orders and coordinate daily with delivery partners
  • Confirm delivery details and customer availability (via phone, WhatsApp, SMS)
  • Resolve failed deliveries and maintain delivery logs and inventory records
  • Collaborate with logistics partners (Shiploy and Rexfair) to optimize last-mile delivery

Office & Admin Support

  • Manage documentation, filing, printing, and scanning
  • Oversee office supplies, vendor coordination, and workspace organization
  • Schedule team meetings, take minutes, and follow up on action items
  • Support new employee onboarding and administrative HR tasks
  • Act as liaison between departments including HR, logistics, and customer care

Required Skills & Qualifications

  • HND/BSc in a relevant field (minimum requirement)
  • 2–4 years’ experience in executive, administrative, or operations support roles
  • Excellent verbal and written communication skills
  • Proficiency in Google Workspace, Excel, WhatsApp Business, and CRM tools
  • Strong organizational and time-management abilities with attention to detail
  • High level of discretion in handling sensitive information
  • Problem-solving mindset and emotional intelligence

Preferred Attributes

  • Previous experience in e-commerce, logistics, retail, or startup environments
  • Confidence in engaging with customers and delivery vendors
  • Ability to multitask and prioritize effectively under pressure
  • Quick learner comfortable in a fast-paced, multi-brand business setting
