About the Role
We are seeking a highly skilled and organized Executive Assistant to provide comprehensive administrative and executive support to the Managing Director of our exploration and production company. The ideal candidate will be proactive, detail-oriented, and possess excellent interpersonal and communication skills. This role requires someone who can efficiently manage the MD’s time, coordinate high-level projects, and ensure seamless business operations.
Key Duties and Responsibilities
- Manage and maintain the MD’s calendar, appointments, and meetings with internal and external stakeholders.
- Serve as the primary liaison between the MD, internal teams, vendors, and business partners to ensure smooth communication.
- Provide day-to-day administrative and office management support.
- Organize complex travel logistics including flights, accommodations, and visas.
- Review and edit all executive-level documents, reports, and correspondence for clarity, grammar, and accuracy.
- Prepare meeting materials, take minutes, and ensure timely follow-up on action items.
- Draft and review presentations, reports, and background research as required.
- Screen and manage all inbound communication (calls, emails, visitors) directed to the MD’s office.
- Handle office administration issues, escalating where necessary.
- Coordinate and facilitate communication with department heads, project managers, and business leaders.
- Maintain a professional image of the executive office in all interactions with stakeholders and external partners.
- Perform additional duties as assigned by the MD.
Key Requirements
Education & Experience:
- Bachelor’s Degree in any discipline (Master’s Degree is an added advantage).
- 5–8 years of proven experience in an administrative or executive support role.
Skills & Competencies:
- Strong calendar management, scheduling, and prioritization skills.
- Proficiency in Microsoft Office Suite and Google Workspace.
- Excellent written and verbal communication skills.
- Ability to organize files, records, and data efficiently.
- Strong time management and multitasking abilities.
